ONLINE ALL STATE REGISTRATION
Directors,
I know many of you are frustrated about this, and believe me, so am I. Rather than answer each individual email, it will be more efficient if I send this posting. If your registration didn't flag, or if you aren't even registering students for All-State, you don't need to read another word of this email.
There are two parts: the WHY and the HOW TO FIX. I'll give you the how to fix first. If you're interested, you can also read the Why section. Please read carefully:
THE HOW TO FIX SECTION
Send me a copy of your ID card. You can do any of the following:
1. scan the card and email the image to me 2. fax a copy of the card to my attention at 423-425-4603
or my new favorite (thanks to Brenda Williams from MTVA for suggesting it!)....
3. Use your smartphone, your iPad or iPod, or your digital camera to take a picture of the card and email to me.
When I get your verification, I will manually unflag your registration data. Then, later this weekend (I hope) I will have a page up that will allow you to reprint your registration receipt. If your data has been unflagged by me, when you reprint, the expired membership message will not show up. You will also have the option from that page to edit your registration, i.e., to correct errors or to delete extra students.
THE "WHY" Section:
As I stated in the first email: on January 26 I got a download of membership data from the NAfME database. It basically reports every detail that you submitted when you join or renew your membership with MENC, something like 69 different categories of information. One piece of this data is the expiration date of your membership. I transfer the relevant parts of this download into our database. This is what allows most of the registration fields to be already filled in when you look at the first 3 pages of the registration program. You have the opportunity to update any information that is not correct as you go through the pages.
HOWEVER -
Whether or not your membership is current is already decided before you move to the second page (i.e., after you enter your NAfME ID number and your school). This is necessary to avoid fraud. If I let you update your expiration date and used your input as the deciding factor, an unscrupulous director could just pick a future date and put that in and would NEVER HAVE TO RENEW THEIR MEMBERSHIP and we'd have no way to know. NAfME tells me their information is accurate. I know better, but I have to take their word for it, and I keep hoping they might have discovered the flaw and fixed it. I really suspect that it's the sheer amount of data they are holding that creates the problem. I also suspect that contrary to what they say, their data entry process is backlogged.
Anyway, if NAfMe gave me an incorrect date for your expiration, you're going to be flagged when you register. I knew this was coming and that's why I decided to let you go ahead and complete the registration rather than kicking you out of the program. We have the data we need, and we have time to verify whether your membership is current or not.
I hope you understand this is not a malevolent attack on you personally and it is not a flaw in the programming. The source of the problem is bad data from NAfME. You'd think with all the money they've gotten from their constantly rising fees (not to mention the amount of money they wasted rebranding themselves as NAfME), they could at least get their data right.

ALL STATE REGISTRATION
Currently, I am missing part or all information from Houston HS and Arlington HS. I am hoping to gather this info and payment tomorrow or Saturday. Monday will be a day of filling our roster with alternates if we must.
Check your emails, I have sent individual mailings to those that are missing only one item. If possible, either scan and email these items, or FAX them to the Munford High School FAX number listed in our directory. Payment must be made with materials.
My goal is that our "chosen" students represent us at our premiere event, but a $250 late-fee will be levied on WTSBOA in the event of late or incorrect materials.

The online Registration for TN All-State students is now open. Directors should go to the All-State page of the TMEA website (http://tnmea.org/All_State.aspx). The Registration is directly linked from the left-column navigation, the All-State page, and indirectly from the home page announcement via the All-State page. All Directors directors with students who are attending All-State must register yourself and your students using the online registration. YOU SHOULD REGISTER YOUR ALTERNATES! (You will not be charged for alternates unless they are called to go to All-State.)
CRUCIAL INFORMATION - In order to keep you from submitting incomplete forms it was absolutely necessary to use javascript. This means you MUST use a browser which allows javascript. All smart-phones have javascript enabled. Firefox, Internet Explorer, Google Chrome and Safari all allow the option to turn javascript on and off. If you open the page and try to submit the form and nothing happens, most likely javascript is turned off in your browser. Check your browser settings. Feel free to contact me for technical support if necessary.
The registration system is based on a download of TMEA members from NAfME (MENC) on Jan. 25, 2012. The NAfME database is often faulty. If your school is missing from the registration list, or if you were not listed in the database, you will get an error message when you try to submit the first page. Please contact me by email for a resolution.
Please take care as you enter your information. Please use your TAB key to move from line to line on the form. You will see a warning sign every time you move from one page to the next - this is a fail-safe to allow you to check your work and not accidentally submit the forms before you have completed them.
I am still finishing the page that will allow you to edit information you have already entered. I hope to have that online in the next two days.

ALL STATE FORMS AND PAYMENT must be postmarked no later than February 10. Failure to comply WILL result in student disqualification. Our West Tennessee contribution MUST be in the hands of the All State Chair by February 17.
